Privacy policy

This policy explains how Barnhill Property Management Ltd, trading as Pukeko Rental Managers Auckland, collects, uses and protects personal information in accordance with the Privacy Act 2020.

What we collect

Through this website we collect only what you give us through the contact form: your name, email address, phone number, the property address or suburb if you provide it, and your message. We also record the date and time of the submission and the page it was sent from, so we can answer you properly.

In the course of managing a rental property we collect the information needed to do that job: owner and tenant contact details, tenancy agreements, bond records, rent ledgers, inspection reports and photographs, maintenance records, compliance documents and, for prospective tenants, the references, identity and credit information needed to assess an application.

How we use it

To respond to your enquiry and provide the services you have asked for.
To manage tenancies, including rent collection, inspections, maintenance and compliance with the Residential Tenancies Act 1986.
To lodge bonds with Tenancy Services and to deal with Tenancy Services, the Tenancy Tribunal and insurers where a tenancy requires it.
To pay suppliers and produce owner statements.

We do not sell personal information, and we do not add website enquirers to a mailing list.

Who we share it with

Information is shared only where it is needed to provide the service: with Pukeko Rental Managers' national systems and software providers, with tradespeople carrying out repairs (access details only), with credit and reference agencies when assessing a tenancy application, with Tenancy Services for bond lodgement, and with the Tenancy Tribunal, mediators or insurers where a matter requires it. Our website is hosted on Cloudflare and form emails are delivered through Mailgun; both process data on our behalf.

How long we keep it

Website enquiries are kept for as long as needed to respond and for our records. Tenancy records are kept for the period required by law and for the resolution of any dispute, then securely destroyed. Unsuccessful tenancy applications are not kept longer than necessary.

Your rights

Under the Privacy Act 2020 you can ask to see the personal information we hold about you and ask us to correct it. Email vivian.travis@pukekorentalmanagers.co.nz or call 021 035 8618. If you are not satisfied with how we have handled your information you can contact the Office of the Privacy Commissioner at privacy.org.nz.

Cookies and analytics

This website uses no advertising cookies. It may use privacy-respecting analytics to understand how the site is used; where analytics are enabled, no personal information from the contact form is shared with them. The contact form uses a hidden spam check rather than a third-party CAPTCHA, so no data is sent to Google for that purpose.

Changes

We may update this policy from time to time. The current version is always at this address.
